Opportunity:

We are currently looking for a Field Operations Administrator to excel on our growing New Construction Solar Team! The Field Operations Admin is responsible for supporting installation activity, working directly with the Citadel Superintendents and other internal teams to ensure the field operations team has the information, tools and materials needed to complete solar installs on time. They also facilitate the documentation of installation activity, ensuring all project requirements have been met in order to effectively close out the installation phase of a project. NH Field Ops Admin work closely with our New Homes Project Coordinators to ensure data accuracy, workflow continuity and operational excellence within the department.

Responsibilities:

  • Support Citadel Superintendents with scheduling updates, monitoring a dynamic activity calendar continuously to ensure accuracy and efficiency of the daily installation schedule
  • Generate Warehouse Equipment Pulltags (Bills of Material) according to installer scheduled activity, monitoring continuously for late schedule adds and unplanned schedule changes.
  • Identify changes made within projects which require new/revised Pulltags, providing quick support so not to disrupt project schedules and deadlines
  • Order and deliver installation placards for final inspection readiness
  • Confirm and document daily installation activity, collaborating closely with Citadel Superintendents to ensure all activity is captured and recorded.
  • Receive daily installation photo submittals, reviewing for completeness, following up on missing/inaccurate photos, documenting photo completion statuses, and downloading final photo packages for project record.
  • Complete PV Installation Certificates required for code compliance and building permit final.
  • Field Team Payroll processing. Review timecards for accuracy, reconcile with job budgets, submit to accounting within weekly payroll deadlines.
  • Provide general Field Team support:
  • Assist field team in locating necessary job #’s, designs, schedules
  • Serve as main point of contact for field team while they are in the field and need administrative assistance remotely
  • Facilitate and participate in regular field team meetings

Skills & Qualifications:

  • 2+ years of Administrative experience required Construction or Solar Administrative experience a plus
  • General computer navigation and typing proficiency required Expanded Microsoft Excel, Outlook and Adobe PDF skills a plus
  • Professional verbal & written communication skills
  • Attention to detail, with good habits of reviewing work for accuracy is necessary
  • Ability to work independently, as well as in a collaborative team environment
